Job Description

Temporary appointment for 6 months.

OBJECTIVES OF THE PROGRAMME:
The goal of WHO's presence in countries, territories and areas is to develop a two-way collaboration between the Secretariat and countries, territories and areas, by supporting them to reach national health goals and contribute to global and regional public health action. WHO utilizes the Country Cooperation Strategy (CCS), a key element of the Country Focus strategy, as a strategic management tool to create synergy and alignment between WHO leadership priorities and national health policies, strategies and plans as well as United Nations Development Assistance Framework (UNDAF). Creating this synergy and alignment will be essential to advance WHO’s organizational effectiveness and ensure WHO’s relevance at country level.
DESCRIPTION OF DUTIES:
Under the direct supervision of the Senior Logistician and general guidance of the Administrative Officer, the Logistics Assistant (Fixed Asset) will be responsible on the overall monitoring and recording of fixed assets maintained in the country office. Work is assigned by supervisor who gives guidance on non-routine matters. Routine tasks are performed independently and some degree of autonomy is also present in matters relating to office procedures. Complex assignments are reviewed in progress at the discretion of supervisor.
Established procedural and office guidelines are available, but where guidelines are incomplete, some interpretation may be required to determine a course of action or approach to work where precedents may not exist.
The incumbent will perform the following duties:
1. Ensures the proper maintenance of the Fixed Assets Register (FAR) by receiving and accepting goods on the POs in GSM, and adding necessary information; i.e. barcode, serial number, chasses number, manufacturer, model and User/Custodian accurately.
2. Coordinates with Regional Office on manual entry of fixed assets in cases of donation or when items are combined POs and need to be entered separately in FAR.
3. Ensures accurate tracking of existing fixed assets and facilitates the periodic and end of year physical verification review process by the Physical Verification Committee designated by WR.
4. Coordinates with responsible units on receipt, and technical inspection of fixed assets, coordinates with warehouse managers on dispatch of fixed assets.
5. Follows up with provincial & field offices to obtain full information on asset management, receiving and FAR management, physical inventories and data reconciliation.
6. Reports on conditions of potential impairment of fixed assets, conducts the annual impairment review process and coordinates with RO to obtain Property Survey Committee (PSC) approval and to implement the resulting adjustments accordingly.
7. Generates regular reports from FAR to be shared with WR and RO as part of the monitoring process, provides end of year fixed assets report from GSM for the fixed assets Physical Verification Committee designated by WR
8. Follows up with the Supplier for timely deliveries of stock items against issued purchase orders as well as replacement of the supplies out of specifications and rejected by the technical unit concerned.
9. Maintains the WCO supplier data base.
10. Provides guidance to field Offices in relation to fix assets and suppliers data
11. Performs other related duties as required.
ANNUAL NET SALARY (PKR 1,211,807)
