Job Description
UN Women aims to recruit a Program Assistant, Women’s Leadership in Social Reconstruction Programme for its office in Muzaffarabad, Pakistan Administered Kashmir (PAK). . Under the overall guidance of the Deputy Representative, in liaison with the Program Specialist and Program Officer, WLSR Unit at the Country Office (CO) and direct supervision of the Gender Advisor, Muzaffarabad, Pakistan Administered Kashmir (PAK), the Programme Assistant will ensure effective delivery of the programme activities by supporting the Gender Advisor in developing and monitoring program partnerships, holding meetings/consultations, entering data, and managing programme implementation consistent with UN Women rules and regulations.
The Programme Assistant will work in close collaboration with programme team at the CO as required, exchanging information and supporting programme delivery.
Summary of Key Functions:
q Support to formulation of programme strategies and implementation of the Programme Action Plan in PAK
q Support to management of the programme work plan in PAK
q Provide administrative support to the Office in Muzaffarabad
q Facilitate knowledge building and knowledge sharing in PAK
1. Supports formulation of programme strategies and implementation of the Programme Action Plan at the provincial level focusing on achievement of the following results, primarily in the areas of:
q Presentation of background information for formulation of the programme, draft project documents, work plans, budgets, proposals on implementation arrangements
q Supporting in management of programme activities related to WLSR monitoring and reporting
2. Provides effective support to management of the programme at the Pakistan Administered Kashmir focusing on the achievement of the following results, primarily in the areas of:
q Providing Assistance to the Gender Advisor in supporting the contractual agreements for WLSR Programme
q Coordinating with programme partners on programme initiatives including Government,
CSOs and UN agencies
q Coordinating with implementing partners and finance section ensuring timely submission of partner progress reports (narrative and financial) and timely release of installments
q Maintaining Communication/documentation including preparing reports, briefs, letters, minutes of the meetings
q Updating regularly the Programme work plan and programme calendar at the provincial level.
q Facilitating logistics as well as programme related arrangements for conducting consultations, expert group meetings and other events with stakeholders in close liaison with Operations team
q Maintaining confidential, policy, programme and general management files.
q Office filing, E-filing for the relevant documents, files and correspondence
q Supporting SPO in coordination with other UN Women programmes in the province
3. Provides administrative support to the Programme Unit at the PAK level focusing on achievement of the following results:
q Maintaining and updating database of contact details of all partners – Govt., INGOs, NGOs, Parliament/Caucus, donors and other stakeholders.
q Assisting in processing of travel arrangements, and Purchase Requests as and when required
q Generating regular Atlas reports to ensure Programme budget tracking where required.
4. Ensures facilitation of knowledge building and knowledge sharing at the PAK level focusing on achievement of the following results:
q Participating in trainings for the operations/ projects staff on programme
q Contributing to knowledge networks and communities of practice
q Planning of events (conferences, meetings, group discussions/consultations), International missions, dinners, events, meetings.
q Coordinating with implementation partners, different stake holders, government partners and consultants
Deliverablesq Meeting minutes/event reports/concept notes
q Maintenance of programme activity matrix and IPs monitoring matrices
q Coordinating and managing arrangements for events/consultations/meetings
q Routine correspondence with partners
q Consolidation of Programme Work plan
q File maintenance of important letters, faxes, MoUs and other important programme documents
q Atlas expenditure reports for monitoring programme performance
Education:
Bachelors Degree in Social Sciences or relevant fields.
Experience:
Minimum 5 years of relevant programme experience along with administrative skills at the national level. Experience in the usage of computers and office software packages (MS Word, Excel, etc) and knowledge of programme budgeting.
Language Requirement:
Fluency in English and language of the duty station.
