Job Description

MAJOR DUTIES AND RESPONSIBILITIES:
Assist Budget and Finance Officer on recording, processing, monitoring and reconciling the expenditures related to Polio funding, preparing and sharing transaction reports, reconcile vision report on specified format regarding the transaction raised from Polio funding sources.
Keep tracking of the TORs of Polio Section generally and specifically related to IsDB funds with Supply section and field offices to ensure timely processing of TORs and ensure signed TORs handed over to concern Operations staff in Polio Section PCO and Field Office for further necessary action. Coordinate with BTC and Supply section regarding transactions related to Polio funding.
Maintain and compile record of projects, cash and supply inputs. Coordinate with counterparts and programme in correspondence related to cash and supply assistance to projects. Follow-up on cash advances, scrutinize bills and relevant documents upon submission for liquidation for processing through finance section.
Maintain inventory of all printed materials including e-record and e-archive communication materials including briefings, talking points, presentations, minutes of communication and other relevant meetings, including conference calls with provinces, HQ and partners. Prepares, updates and verifies with the relevant section lead communication materials distribution list.
Assistant Senior Communication Manager for mass media campaigns. Support on gathering data and compilation of weekly and monthly Polio communication reports as well as putting together presentations for internal meetings and meetings with donors, partners and GOP.
Respond to queries from counterparts related to financial transactions, accounts and supply requirements and delivery status in consultation with programme officers.
Coordinate with operations & other UNICEF sections for day to day administrative, financial and operational matters.
Any other task assigned by the supervisor.
WORKING CONDITIONS:
The job is office-based with some travel. The job involves some travelling to provincial offices to provide additional administrative support in case of absence of any staff member for a longer duration or in case of increased work load.
LANGUAGES:
Fluency in written and spoken English and knowledge of local languages.
